Filtering & Searching Tenants

Using advanced criteria to isolate specific resident groups and manage portfolio data.

Steps:
To find specific tenants or group them for reporting:
  1. Search Bar: Type a name, email, or unit number into the Search Bar for instant results.
  2. Advanced Filter Row: Use the dropdown menus to filter your list by:
    • Unit No: View residents in a specific unit.
    • Portal Access: See who has (or hasn't) activated their mobile app/portal.
    • Renewal Offer Status: Track who is up for a lease renewal.
    • Payment Status: Isolate tenants who are Paid, Unpaid, or Overdue.
    • Pending Profile Approval: Review tenants waiting for admin verification.
    • Upcoming Lease Expiration: Identify leases ending within a specific window.
  3. Reset Filters: Click the Three Vertical Dots (top right) and select Reset Filters to clear all criteria and return to the full list.


    Exporting & Sharing Tenant Data 

    Generating PDF or Excel reports of your tenant list and sharing them via email.

    Steps:
    To take your data out of the system or share it with a colleague:
    1. Open Menu: Click the Three Vertical Dots Icon in the top-right corner of the Tenants page.
    2. Choose Format: Under "Export as," select your preferred file type:
      • PDF Icon: Generates a professional document perfect for printing or archiving.
      • Excel Icon: Downloads a spreadsheet for custom data analysis.
    3. Share via Email: Click the Envelope (Email) Icon to send the current filtered list directly to an email recipient.
    4. Note: Your export will only include the tenants currently visible based on your active filters.

    Deleting or Deactivating Tenants

    Permanently removing a resident record or handling move-outs.

    Steps:
    To remove a tenant from your active list:
    1. Open Actions: Click the Three Vertical Dots in the "Actions" column for that specific tenant.
    2. Delete: Select the Delete option.
    3. Confirm: A security prompt will appear. Confirm the action to permanently remove the record.
    4. Note: We recommend ensuring all balances are at $0.00 and the lease is officially terminated before deleting a tenant, as this action will remove their entire financial and document history.
