Viewing Tenants List

Accessing the resident directory and monitoring active lease statuses and balances.

Steps:
To view and manage your current residents:
  1. Navigate: Click the Tenants (User Icon) in the left sidebar.
  2. Filter by Status: Use the Status dropdown (top left) to switch between Active, Past, or Future tenants.
  3. Analyze the Table: * Tenant: Displays the name, photo, and assigned unit.
    • Active/Future Leases: Shows the date range for all current and upcoming lease terms.
    • Balance: Displays the total amount owed. Click the External Link Icon next to the red balance to open their financial ledger.
  4. Search & Organize: Use the Search Bar to find tenants by name or click Group By to organize the list by Property or Unit.
  5. Actions: Click the Pencil (Edit) Icon to update a profile or the Three Vertical Dots for additional management options.


    Adding a New Tenant (Manual Onboarding)

    Step-by-step guide to onboarding a resident, including initial financial balances and deposits.

    Steps:
    To manually add a tenant to a property:
    1. Initiate: Click the orange ADD TENANT + button in the top right.
    2. Step 1 - General Info: * Property: Select the specific building and unit from the dropdown.
      • Pre-paid Deposit Amount: Enter any deposit already held (leave blank if not yet paid).
      • Starting Balance Amount: If this is an existing tenant with an old balance, enter the amount here.
    3. Submit Step: Click CONTINUE.


      Configuring Primary Tenant Info

      Entering personal data, contact details, and granting secure tenant portal access.

      Steps:
      In Step 2 (Primary Tenant) of the creation wizard:
      1. Portal Access: Check the Tenant Portal Access box to invite the resident to use the mobile app or web portal for payments and requests.
      2. Basic Details: Enter their Name, Gender, SSN, and Date of Birth.
      3. Contact Info: Provide a valid Email and Phone number (essential for portal invites and notifications).
      4. Additional Data: Use the tabs on the left to record Pets, Vehicles, Incomes, and Employment history.
      5. Submit Step: Click CONTINUE.


        Setting Up Lease & Payments

        Defining contract terms, recurring rent amounts, and automated invoice generation.

        Steps:
        In Step 3 (Lease) of the creation wizard:
        1. Lease Details: Select the official Start Date and End Date of the tenancy.
        2. Payment Configuration: * Enter the Rent amount and any recurring Pet Fees.
          • Set the Late Fee and the Due Date Interval (days before a fee is applied).
          • Check Free Lease if no rent is being collected.
        3. Invoice Generation: Choose between MONTHLY, ONE TIME, or ADVANCED billing.
          • Note: Monthly invoices are automatically generated on the first day of every month.
        4. Submit Step: Click CONTINUE.


          Finalizing Move-In Details

          Recording official move-in dates and performing the final review before submission.

          Steps:
          1. Move-In Info (Step 4): Enter the Move In Date and a brief Move In Reason for your records. Click CONTINUE.
          2. Review & Submit (Step 5): Carefully review the summary of the General Info, Primary Tenant Info, and Lease Details.
          3. Finalize: If all data is correct, click the orange SUBMIT button.
          4. Success: The tenant is now active in the system, and the lease is officially recorded in their profile.


            Importing Tenants in Bulk

            Using file uploads to quickly migrate large resident lists into Seamless Tenants.

            Steps:
            To upload multiple tenants at once:
            1. Action: Click the BULK IMPORT button on the main Tenants page.
            2. Prepare File: Ensure your CSV or Excel file matches the system headers.
            3. Upload & Map: Follow the on-screen prompts to map your file columns to system fields.
            4. Validate: Review the imported data for errors before clicking final submission.
