The Primary Applicant is typically the person who initiates the process. By designating a primary contact, you avoid sending duplicate emails or getting conflicting answers from different roommates. All co-tenants are then linked to this primary file, creating a unified "Household" record.
Adding Co-Tenants to an Application
There are two ways co-tenants are typically added to the system:
1. User-Initiated: The primary applicant adds their roommates or partner directly while filling out the digital application.
2. Manager-Initiated: If a prospect forgets to include a roommate, you can manually add a co-tenant by editing the application details.
Once added, the system generates a separate set of requirements for that individual, such as their own ID upload and income verification, ensuring that you vet the entire household, not just one person.
Unified Document Management for Groups
One of the biggest headaches in multi-party applications is keeping track of who has submitted what. In the Application Details view, Seamless Tenants organizes documents by individual. You can quickly see that "Tenant A" has uploaded their ID, but "Tenant B" is still missing their pay stubs. This granular visibility allows you to send targeted reminders rather than bothering the whole group for one person's missing paperwork.
E-Signing and Joint Liability
When it comes time to create the lease, co-tenant management becomes a matter of legal protection. Because the system recognizes all parties as part of the same application, it automatically includes every co-tenant on the generated lease agreement.
- Group Signing: The system sends the digital lease to every occupant. The document is not considered "executed" until every co-tenant has provided their digital signature.
- Joint Responsibility: By linking them in the system, any rent charges or late fees are applied to the "Unit Balance," which the group is collectively responsible for. This reflects the standard "joint and several liability" found in professional lease agreements.
