Once the applications are approved and the leases are signed, your focus shifts from recruitment to retention. The "Tenants List" is the heart of your daily operations. It is where you go to check who is currently living in your properties, verify lease dates, and access contact information. In Seamless Tenants, this list is designed to give you a high-level view of your community while providing instant "one-click" access to the finer details of each tenancy.
In this article, we will explore how to use the Tenants List to manage your relationships and keep your day-to-day tasks organized.
Accessing the Tenant Command Center
To view your current residents, select "Tenants" from the left-hand navigation menu. This screen is your primary directory for everyone currently under lease. Unlike the applications list, which deals with "potential" income, the Tenants List represents your "active" income. It is a live database that updates as people move in and out, ensuring you always have an accurate head count for your entire portfolio.
Key Information at a Glance
A well-organized tenant list should tell you exactly what you need to know without requiring you to open five different windows. In the Seamless Tenants view, each row provides critical identifiers:
- Tenant Name: The primary contact for the unit.
- Property and Unit: A clear map of where they reside (e.g., "Crystal Apts - Unit 101").
- Lease Status: Instantly see if a lease is "Active," "Expiring Soon," or "Month-to-Month."
- Contact Quick-Links: Access phone numbers or email addresses directly from the list, making it easy to send a quick update or check-in.
The Primary vs. Co-Tenant View
Managing a household often involves multiple people, but your list shouldn't be cluttered with duplicate entries. Seamless Tenants uses an intelligent grouping system. The list primarily displays the "Primary Tenant"—the main point of contact. However, by clicking into the tenant record, you can instantly see the "Co-Tenants" and "Occupants" associated with that unit. This keeps your main directory clean while ensuring no one is forgotten.
Searching and Smart Filtering
If you manage a large number of units, scrolling is not an option. The search and filter tools at the top of the list allow you to slice your data in seconds:
- Name Search: Quickly find "John Doe" to check his move-out date.
- Property Filter: View only the tenants living in a specific building or city.
- Lease Expiry Filter: This is a favorite for proactive managers. Filter for leases expiring in the next 30 or 60 days so you can start renewal conversations early and avoid unexpected vacancies.
The Power of the "Tenant Card"
While the list gives you the overview, clicking on a tenant's name opens their full profile. From there, you have a 360-degree view of their history, including:
- Their digital wallet and payment history.
- Uploaded identity documents and signed leases.
- A full activity log of every interaction or change made to their account.
Why a Centralized List Wins
By keeping your tenant data in one centralized, searchable list, you eliminate the "Where is that file?" stress. Whether you are in the office or on-site with your mobile device, you have the "Source of Truth" for your resident population. This organization allows you to provide faster service to your tenants and maintain a more professional, data-driven management style.
