Rent Roll Report Overview

Accessing a master snapshot of occupancy, lease terms, and current balances across your portfolio.

Steps:
The Rent Roll Report provides a bird's-eye view of your entire organization's performance in a single table:
  1. Navigate: Click the Reports (Chart Icon) in the left sidebar and select Rent Roll Report.
  2. Review High-Level Data: The report consolidates data from Properties, Tenants, and Invoices into one view:
    • Lease Context: View the Tenant Name, Lease Period, and Move In Date.
    • Property Status: View the Unit Number and Occupancy Status (Occupied or Vacant).
    • Financial Health: Track the Rent Amount, Current Balance (Red indicates money owed), Deposit Balance, and Payment Status (e.g., Overdue).
  3. Interactive Links: Click on any Property, Unit Number, or Tenant Name (shown in orange) to jump directly to that specific profile for deeper management.


    Filtering & Searching the Rent Roll

    Isolating specific properties or payment groups to identify vacancies and delinquent accounts.

    Steps:
    To find specific data points within your Rent Roll:
    1. Global Search: Type a tenant name or property address into the Search Bar to filter results instantly.
    2. Multi-Select Filters: Use the dropdown menus to narrow the list by:
      • Property: View only the units and tenants for a specific building.
      • Unit Number: Drill down to a specific door.
      • Occupancy Status: Filter for Vacant units to see where you have gaps in revenue.
      • Payment Status: Filter for Overdue status to quickly generate a list of tenants who need follow-up.
    3. Custom Layout: Click More Columns to show or hide details, or use Group By to organize the report by Property for a cleaner sub-total view.


      Exporting & Sharing Rent Rolls

      Generating professional occupancy and financial reports for owners, banks, or tax purposes.

      Steps:
      The Rent Roll is frequently required for financial audits and owner updates:
      1. Open Export Menu: Click the Three Vertical Dots Icon in the top-right corner.
      2. Select Export Format:
        • PDF Icon: Generates a professional, branded report - ideal for bank loan applications or monthly owner statements.
        • Excel Icon: Downloads a spreadsheet for custom calculations and historical comparisons.
        • Envelope Icon: Emails the currently filtered Rent Roll directly to a recipient.
      3. Reset Filters: Click the Funnel Icon (Reset Filters) in the same menu to clear your search and return to the full organization view.
      4. Refresh: Click the Circular Arrow Icon to ensure you are seeing the most recent move-ins and payment updates.
