Bank Ledger Report Overview
Auditing the chronological flow of funds into and out of your organization’s financial accounts.
Steps:The Bank Ledger provides a detailed record of all cash flow, allowing you to track your organization's real-time liquidity:
- Navigate: Click the Reports (Chart Icon) in the left sidebar and select Bank Ledger Report.
- Review Ledger Columns:
- Type: Identifies the transaction as Income (money in) or Expense (money out).
- Description: Provides context for the transaction (e.g., "HUD Subsidy for Jan 1, 2026").
- From/To: Identifies the source or recipient of the funds.
- Credit: Shows positive amounts added to the ledger.
- Debit: Shows amounts deducted from the ledger.
- Running Balance: Displays the total amount remaining in the account after each transaction.
- Audit Links: If a transaction is linked to an invoice, you can often click the description or ID to view the source document.
Narrowing down the ledger by category, property, or specific tenant to reconcile niche accounts.
Steps:To find specific transactions or reconcile a single property's cash flow:
- Category Filter: Filter by specific income or expense categories (e.g., "HUD Subsidy" or "Maintenance") to see how much has moved in that bucket.
- Asset Filters: Use the Property, Unit, and Tenant dropdowns to see only the bank activity associated with a specific part of your portfolio.
- Global Search: Type keywords from the description or a specific dollar amount into the Search Bar to find a transaction instantly.
- Group By: Use the Group By dropdown to organize the ledger by Property or Transaction Type for a more structured audit.
Generating financial statements in PDF or Excel for bank reconciliation and tax preparation.
Steps:To provide your accountant with a cash-flow statement or save a copy for your records:
- Open Menu: Click the Three Vertical Dots Icon in the top-right corner.
- Select Export Option:
- PDF Icon: Generates a professional, easy-to-read bank statement.
- Excel Icon: Downloads the raw data—essential for manual bank reconciliation in software like QuickBooks or Xero.
- Envelope Icon: Emails the filtered ledger directly to your accountant or business partner.
- Resetting: Click Reset Filters (the funnel icon) to clear all filters and view the complete organizational bank history.
- Refresh: Click the Circular Arrow Icon to ensure all recent rent payments and expenses are reflected in the current balance.
