Reviewing Invoice General Info

Accessing a comprehensive breakdown of a charge, its status, and its associated property data.

Steps:
To review the core details of an existing invoice:
  1. Navigate: In the Invoices list, click the VIEW button on any invoice row.
  2. Status & ID: The modal header displays the unique Invoice Number and a color-coded status badge (e.g., Unpaid or Paid).
  3. General Info Tab: Review the following fields:
    • Financial Summary: Check the Total Amount, Amount Paid, and remaining Amount Due.
    • Details: See the Invoice Type (Income/Expense), Category (e.g., Rent), Title, and Invoice Date.
    • Attached To: On the right panel, see the linked Property, Unit, and Tenant responsible for the bill.
  4. Quick Actions: * Click DOWNLOAD PDF to save a copy for your records.
    • Click PAY to record a payment or WAIVE to cancel the charge.


    Managing Invoice Documents

    Attaching receipts, utility bills, or signed disclosures directly to a specific financial record.

    Steps:
    To keep supporting evidence organized with your billing:
    1. Navigate: In the View Invoice modal, click the DOCUMENTS tab.
    2. Add New File: Click the orange NEW DOCUMENT button:
      • Upload Document: Select a file from your computer (e.g., a plumber's receipt or a photo of a utility meter).
      • Fill & Sign Document: Initiate a digital signature request specifically for this invoice.
    3. Organize: Use the Search Bar or Group By filters if you have multiple files attached to a single large invoice.
    4. Archived Files: Click VIEW ARCHIVED to see documents that were previously removed from the active view.


      Tracking Invoice Payments

      Viewing the transaction history and settlement details for a specific bill.

      Steps:
      To see exactly how and when an invoice was settled:
      1. Navigate: In the View Invoice modal, click the PAYMENTS tab.
      2. Review Transactions: The table lists all individual payments applied to this specific invoice. You can see the Title of the payment, the Amount received, and the Date it was recorded.
      3. Search & Filter: Use the Search Bar or More Columns dropdown to find a specific transaction if the invoice was paid in multiple installments.
      4. Sync Data: Click the Circular Arrow Icon (Refresh) to ensure you are seeing the latest processed payments.


        Reviewing Invoice Activity Log

        Maintaining a chronological audit trail for all financial adjustments and staff comments.

        Steps:
        To maintain total financial accountability for every bill:
        1. Navigate: In the View Invoice modal, click the ACTIVITY LOG tab.
        2. Audit History: Review the timeline to see exactly who created the invoice, when the status was changed, and any edits made to the amount.
        3. Search & Filter: * Use the Search Activity Log box for specific events.
          • Use the From Date and To Date pickers to see actions during a specific period.
        4. Staff Comments: Use the Leave a comment box on the right to add internal context (e.g., "Tenant promised payment by Friday"). Click SUBMIT to save the note to the permanent log.
