Interactive Calendar 

Visualizing portfolio events, move-in dates, and automated payment schedules.

Steps:
The Calendar provides a high-level visual timeline of your organization's activity:
  1. Navigate: Click Calendar in the left sidebar.
  2. Event Types: The calendar automatically plots critical dates:
    • Green Events: Move-In and Move-Out dates for tenants.
    • Orange Events: Financial milestones like "Starting Balance" entries and automated "Rent" invoice generation.
  3. View Modes: Use the dropdown in the top right to switch between Month, Week, or Day views.
  4. Interactivity: Click on any event block to jump directly to the associated Tenant profile or Invoice record.


    Showings Management

    Scheduling and tracking property tours for prospective applicants.

    Steps:
    To manage your pipeline of potential residents:
    1. Navigate: Click Showings in the left sidebar.
    2. Schedule a Tour: Click the orange CREATE SHOWING + button.
    3. Configure Details: Set the Showing Date and the specific From/To Time.
      • Select the Property and assign a Host from your organization.
      • Add internal Notes regarding the prospect's specific interests.
    4. Manage Status: Track tours through the list view. Once a showing is complete, you can update its status or delete the record using the Red Trash Icon.

    Inspections Tracking

    Organizing property walkthroughs, safety checks, and compliance audits.

    Steps:
    To ensure your properties remain in peak condition:
    1. Navigate: Click Inspections (House/Check Icon) in the sidebar.
    2. Schedule Inspection: Click the orange SCHEDULE INSPECTION + button.
    3. Set Parameters: Provide a Title (e.g., "Annual Smoke Alarm Check"), select the Property, and set the Date.
    4. Audit History: Use the list to track Scheduled, In-Progress, or Completed inspections. Click the Pencil Icon to upload findings or photos.

    Global Document Management

    A centralized repository for all signed agreements, IDs, and property files.

    Steps:
    The Documents module acts as your organization’s digital filing cabinet:
    1. Navigate: Click Documents (File Icon) in the sidebar.
    2. Organization: Use the Category and Tags filters to quickly find files (e.g., filter by "Tenant" or "Property").
    3. Status Tracking: View the real-time status of e-signature requests:
      • Status: Draft: The document is being prepared.
      • Status: Completed: All parties have signed.
    4. Actions: Use the icons on the right to Download the PDF, Edit signature fields, or Delete the file.

    Document Templates

    Creating reusable forms and lease agreements for faster onboarding.

    Steps:
    To save time on repetitive paperwork:
    1. Navigate: Click Document Templates in the sidebar.
    2. Add Template: Click the orange ADD TEMPLATE + button.
    3. Upload: Drag and drop your standard PDF (e.g., a generic Lease Agreement or Pet Policy).
    4. Naming: Give the template a clear name and click SAVE.
    5. Usage: Once saved, these templates can be selected whenever you start a "Fill & Sign" session for a new tenant or property.

    Official Notices

    Issuing formal legal communications and late notices to residents.

    Steps:
    When formal communication is required:
    1. Navigate: Click Notices (Document/Exclamation Icon) in the sidebar.
    2. Create Notice: Click the orange CREATE NOTICE + button.
    3. Configuration: * Select the Tenant and the Notice Type (e.g., Late Notice).
      • Enter the Notice Date and specific Details regarding the violation or request.
    4. Immediate Delivery: Check the Send email immediately box to ensure the tenant receives a digital copy the moment you click SAVE.

    Alerts & Notifications Dashboard

    Managing the organization's "To-Do" list and prioritizing urgent pending items.

    Steps:
    The Alerts screen acts as your morning "To-Do" list, aggregating all pending items that require action:
    1. Navigate: Click the Alerts (Exclamation Badge) in the sidebar.
    2. Urgent Items: Review real-time counts for:
      • Pending Tenant Requests & Work Orders: Maintenance items requiring attention.
      • Pending Applications: Prospective tenants waiting for a decision.
      • Unpaid/Overdue Invoices: Both Income (from tenants) and Expenses (to vendors).
    3. Direct Action: Click any alert row to jump directly to that module to resolve the item.

    HUD Subsidy Management

    Tracking and recording government-assisted rent payments.

    Steps:
    For properties accepting housing assistance:
    1. Recording Income: When a HUD payment is received, record it as a new Income transaction in the Income / Expense module.
    2. Categorization: Use the title "HUD Subsidy" and link it to the specific Property and Tenant.
    3. Ledger Accuracy: Recording these as separate income lines ensures your Bank Ledger Report stays perfectly reconciled while the Tenant Ledger correctly shows the balance was settled by a third party.
