1. Can I edit income records?
- Answer: No, you cannot edit income records once they are saved. To protect financial compliance and maintain an unalterable audit trail, all fields (including Amount, Category, Title, Date, and Property Links) become permanently locked and read-only once an entry is submitted.
If an income record contains an error, it must be deleted and re-recorded:
- Locate the incorrect transaction row in either the Income / Expense ledger or the Payments dashboard.
- Click the Red Trash Icon on the right side of the transaction row to permanently delete it.
- If the record was a tenant payment, this action will automatically retract the funds from their portal ledger/deposit balance.
- Click ADD INCOME/EXPENSE + or ADD TENANT PAYMENT + to log a fresh, correct record from scratch.
How do I print a payment receipt?
Answer: While there is no direct "Print" button on the table, you can generate a print-ready document by downloading the receipt as a PDF file directly from the payment history log.
Step-by-Step Procedure:- Navigate to the Payments module located under the General category in the left sidebar.
- Locate the specific transaction row you need a receipt for from the payment history list.
- Move to the Actions column on the far right of that row and click the Download Icon (the tray with a downward-pointing arrow).
- The system will instantly generate and download a professional PDF receipt containing the transaction details, payment method, and amount.
- Open the downloaded PDF file on your computer or mobile device and use your system print command (Ctrl + P or Cmd + P) to send it to your physical printer.
How do I track unpaid invoices?
Answer: There are three centralized ways to monitor and track outstanding or overdue invoices across your portfolio, depending on whether you want a quick summary, a detailed operational list, or a professional export.
Method 1: Using the Alerts Dashboard (Quickest Summary)- Click on Alerts (Exclamation Badge Icon) in the left sidebar.
- Review the Unpaid Income Invoices and Overdue Income Invoices rows.
- The real-time counter on the row shows you exactly how many bills are currently outstanding portfolio-wide. Click on the row to jump directly to those specific items.
- Navigate to General > Payments from the left sidebar.
- Select the Pending Payments tab.
- Use the Overdue multi-select dropdown filter or look for the red Overdue status badges next to individual items to immediately identify delinquent accounts.
- From here, you can directly use the PAY or WAIVE actions to resolve them.
- Go to Reports > Rent Roll Report in the sidebar.
- Use the Payment Status dropdown filter at the top and select Overdue.
- The table will filter instantly to display every occupied unit with an active outstanding balance, along with the precise amount owed highlighted in red under the Current Balance column.
- Click the Three Vertical Dots Icon in the top right corner to export this list as a PDF or Excel sheet for tracking purposes.
Can I edit recorded cash payments?
Answer: No, you cannot edit recorded cash payments once they are saved. To maintain absolute financial compliance and prevent any tampering with the accounting trail, all text fields and monetary values become permanently locked and read-only the moment a transaction is submitted.
How to correct an error on a cash payment:If a cash transaction was logged with an incorrect amount, date, description, or property link, it must be removed and re-entered completely:
- Locate the incorrect transaction row in either the Income / Expense ledger or under the Payments tabs.
- Go to the Actions column on the far right and click the Red Trash Icon.
- Confirm the deletion popup. Note: If the cash was applied directly to a tenant's balance or security deposit, this action will automatically retract the funds from their portal file.
- Re-record the payment with the correct details by clicking ADD INCOME/EXPENSE + or using the ADD TENANT PAYMENT + button.
