Payments Dashboard Overview

Monitoring real-time financial health through key metrics for income, receivables, and payables.

Steps:
The Payments dashboard provides a central hub for tracking your organization's total cash flow:
  1. Navigate: Click the Manage category in the left sidebar and select Payments ($ Icon).
  2. Key Financial Metrics:
    • Income: Total funds collected during the current month.
    • Expense: Total funds spent (outflow) during the current month.
    • Accounts Receivable: The total outstanding amount currently owed to you by tenants across all properties.
    • Accounts Payable: The total amount you currently owe to vendors or contractors for work orders.
  3. Deep Dive: Click VIEW ALL → on any metric tile to jump directly to the filtered list of transactions contributing to that total.


    Managing Income & Expense Records

    Auditing processed transactions, managing documents, and reviewing payment history.

    Steps:
    To review the history of funds that have already been processed:
    1. Switch Tab: Ensure the INCOME / EXPENSE tab is selected.
    2. Review Records: The table displays the Title (e.g., "Deposit"), the Property/Tenant associated, the Amount (green indicates income), and the Date.
    3. Actions: Click VIEW to open the transaction details, where you can manage supporting Documents and view the Activity Log.
      • Click the Red Trash Icon to delete a record. Note: If deleting a deposit, the amount will be retracted from the tenant's held balance.
    4. Search & Filter: Use the dropdowns to filter by Category, Property, Tenant, or Bank account.


      Processing Pending Invoices

      Identifying unpaid charges and taking immediate action to collect or waive funds.

      Steps:
      To manage active bills that have not yet been settled:
      1. Switch Tab: Select the PENDING INVOICES tab.
      2. Identify Priorities: Review the Invoice Date and look for red Overdue badges to identify delinquent accounts.
      3. Direct Action: * Click PAY to record a payment received for that specific invoice.
        • Click WAIVE to remove the charge if it was issued in error or as a courtesy.
      4. Advanced Filtering: Use the filters to isolate invoices by Work Order, Category, or specific Tenant Requests.


        Recording a New Tenant Payment

          Manually entering funds received from a resident for rent, security deposits, or misc fees.

          Steps:
          To record a payment received outside of the online portal:
          1. Initiate: Click the orange ADD TENANT PAYMENT + button in the top-right corner.
          2. Select Resident: Choose the Tenant from the dropdown list.
          3. Enter Financials: Input the Amount received and select the Payment Type (e.g., Cash, Check, Bank Transfer).
          4. Record: Set the Date and click SAVE. The payment will be applied to the tenant’s wallet, allowing you to settle their outstanding invoices.

          Exporting & Sharing Payment Data

          Generating financial snapshots and sharing transaction lists with stakeholders.

          Steps:
          To share your payment records or save them for accounting:
          1. Open Menu: Click the Three Vertical Dots Icon in the top-right corner of the table.
          2. Select Format:
            • PDF Icon: Best for high-level financial summaries.
            • Excel Icon: Best for raw data reconciliation with your bank.
            • Envelope Icon: Directly email the currently filtered list to a recipient.
          3. Resetting: Click Reset Filters to clear your search criteria and return to the full organizational payment history.
