Viewing Applications List

Monitoring prospective tenant statuses and filtering the applicant pipeline.

Steps:
To track all incoming and processed applications:
  1. Navigate: Click the Applications (Document Icon) in the left sidebar.
  2. Review Summary: Use the top tiles to see high-level counts for Total Applications, Pending, Approved, and Rejected.
  3. Analyze the Table: The list displays the Primary Applicant, their assigned Property, Contact info (Email/Phone), and the Expected Move In date.
  4. Search & Filter: Use the Search Bar for specific names.
    • Use the dropdowns to filter by Property, Unit, Org Member, or Unit Vacancy.
    • Filter by Application Status (e.g., Pending, Waiting for Applicant) to prioritize your workflow.


    Creating a New Application

    Manual entry of application details, lease terms, and move-in requirements.

    Steps:
    To create an application record internally:
    1. Initiate: Click the orange CREATE APPLICATION + button (top right).
    2. Step 1 - Application Details: Select the Property and Unit.
      • Assign an Organization Member to manage the file.
      • Set the Required Deposit Amount, Expected Move In Date, and Lease Period (months).
      • Click CONTINUE.
    3. Step 2 - Primary Applicant: Choose ENTER MANUALLY to input details directly across the category tabs:
      • General Info: Name, SSN, DOB, Gender, and Demographics.
      • Additional Tabs: Fill in Pets, Vehicles, References, Incomes, Residences, and Employment history.
    4. Step 3 - Review & Submit: Verify all data on the summary screen and click SUBMIT.


      Sending an Email Application

      Inviting prospective tenants to fill out their application details remotely via email.

      Steps:
      To save time and have the applicant provide their own data:
      1. Navigate: Start a new application and proceed to Step 2 (Primary Applicant).
      2. Action: Select the EMAIL APPLICATION tab.
      3. Send Invite: Enter the applicant's name and email address.
      4. Notification: The prospect will receive a secure link to a digital form where they can upload their own documents, income proof, and reference details.
      5. Tracking: The application status will show as "Waiting for Applicant" in your main list until they submit.


        Importing Applications in Bulk

        Using file uploads to quickly onboard multiple applicants and historical data.

        Steps:
        To move existing applicant data from another system:
        1. Navigate: Click the orange IMPORT button on the Applications main page.
        2. Upload File: Click IMPORT FROM FILE to upload your CSV or Excel spreadsheet.
        3. Map Data: Follow the 8-step wizard to verify data for Applications, Applicants, Pets, Vehicles, References, Incomes, Residences, and Employments.
        4. Validation: Review the table to ensure there are no red errors. You can manually ADD ROW or REMOVE ALL to clean up the data.
        5. Submit: Click SUBMIT to create all application records simultaneously.


          Managing Application Actions

          Editing, deleting, or moving an application forward in the approval process.

          Steps:
          From the main Applications List, you can take immediate action:
          1. Edit: Click the Pencil Icon to update details or add notes to a pending file.
          2. Delete: Click the Red Trash Icon to remove an application (this action is permanent).
          3. Refresh: Click the Circular Arrow to sync the latest submissions from external applicants.
          4. Column View: Click More Columns to show or hide details like "Unit Vacancy" or "ID" from your table view.
