Editing Primary Applicant Info
Updating personal details, contact information, and documentation for the main applicant.
Steps:To modify the core information of an applicant:
- Navigate: In the Applications list, click the Pencil (Edit) Icon for the specific file (e.g., Edit Application #6).
- Update Profile: Click the PRIMARY APPLICANT tab.
- General Info: * Photo: Click the orange UPLOAD button to add a profile picture of the applicant.
- Details: Edit the First/Last Name, SSN, DOB, and License Number.
- Contact: Update the Email and Phone number as needed.
- Additional Tabs: Move through PETS, VEHICLES, INCOMES, etc., to update supporting data.
- Save: Click the SAVE button in the bottom right.
Adding additional residents to the application and recording background check results.
Steps:- Co-Applicants: Click the CO-APPLICANTS tab to manage other residents on the lease. Click ADD CO-APPLICANT to enter their details.
- Screenings: Click the SCREENINGS tab to record the results of background or credit checks.
- Click ADD SCREENING.
- Select the specific Applicant being screened.
- Enter the Screener Name and click CREATE.
- Once created, you can record a numeric rating or notes to help with the final decision.
Recording property viewings and managing application-specific files.
Steps:- Showings: Click the SHOWINGS tab to track when the prospect viewed the property.
- Click + CREATE SHOWING.
- Set the Showing Date, From/To Time, and assign a Host from your team.
- Add Notes regarding the prospect's feedback and click SAVE.
- Documents: Click the DOCUMENTS tab to store IDs, pay stubs, or signed disclosures.
- Use NEW DOCUMENT to either Upload a file or start a Fill & Sign session.
Tracking holding deposits and approving or rejecting the application.
Steps:- Deposit Amounts: Click the DEPOSIT AMOUNTS tab to record funds received.
- Click + ADD DEPOSIT.
- Enter the Amount, Payment Method (e.g., Cash, Check, Online), and Date.
- Click ADD to lock the payment to the file.
- Approve / Reject: When you are ready to make a final decision:
- Click the APPROVE / REJECT tab.
- Click APPROVE to move the applicant to the "Tenant" phase (this will trigger lease creation).
- Click REJECT to close the file. You will be prompted to provide a reason for the denial.
Tracking the history of changes, status updates, and internal comments for an application.
Steps:To view a complete audit trail of all actions taken on an application:
- Navigate: In the Edit Application modal, click the ACTIVITY LOG tab at the bottom of the left menu.
- Filter Results: Use the Search Activity Log box to find specific events.
- Use the From Date and To Date pickers to see actions during a specific window.
- View Timeline: Review the chronological list of actions, showing exactly who made the change, what was changed (e.g., "Created property"), and the timestamp.
- Internal Comments: Use the Leave a comment box on the right to add internal notes for your team and click SUBMIT.
Permanently removing an application file and all associated data from the system.
Steps:To remove an application entirely:
- Action: From the main Applications list, locate the record and click the Red Trash Icon in the "Actions" column.
- Confirm: A popup will appear asking for confirmation.
- Note: Deleting an application is permanent. All uploaded documents, screening results, and activity logs for that specific application will be lost. If you want to keep the record but not proceed, use the REJECT option instead.
